Co-authoring
The days of co-authoring documents via word processor and email are long over. While sending and receiving emails is easy, collaborating and co-authoring over email leads to version proliferation and errors arising out of merging versions. With email attachments, there is always the risk of creating at least as many versions of the document as there are recipients and exchanges. Our mail readers (such as Outlook) do not understand versions of documents.
How Qontext Helps
Qontext’s wiki page feature addresses the problem that most companies struggle with – build a document by co-authoring and incremental refinement. Much like Wikipedia. The final page content could be taken into a word processor for fine formatting or saved as PDF for distribution.
Authoring a wiki page on Qontext is just the same using a word processor and does not require you to learn any wiki language.
You can easily:
- Create wiki pages on the Web using a full-function, WYSIWYG editor that supports tables and rich text formatting
- Embed images and videos where necessary (from within Qontext or third-party sites such as YouTube, Flickr, Slideshare etc.)
- Create pages that are accessible company-wide or to an invited set of users or groups
- Invite users to edit or view the pages that you create
- Create templates for documents that you repeatedly create such as weekly status report, meeting minutes, statement of work, client proposal, etc.
You can share wiki pages by:
- Defining who can edit (controlling the list, for example, final version, remove people in this list)
- Defining who gets to see a page and receive alerts
- Forwarding a final page version to another group (for example, publishing HR policy) while hiding author details and commenting
- Defining document controls such as ‘no printing’ and ’no forwarding’
Qontext enables version management by:
- Sending alerts when a new version is saved
- Maintaining all versions of a page and allowing version comparison to easily spot differences
- Enabling approval/rejection of changes
