Employee self-service
At Qontext, we recognize the fact that Human Resource Management (HRM) structures vary widely from business to business, and are shaped by the type, size, and the vision and mission of your organization. However, we do believe that most organizations design HRM functions around groups of people that need to be supported.
While administrative HR transactions are mostly automated using HR information systems (HRIS), there is evidence to prove that the adoption of HRIS does not enable HR personnel to become administrative experts, reduce HR-function costs or improve the quality of HR service delivery. Traditional HR information systems often appear far removed from the employees and do not project an engaging, social face. Consequently, employees feel detached from the HR decision-making process.
For example, routine application processing (such as employee leave request processing) via HRIS is often fraught with issues including:
- The need to notify multiple stakeholders before an approval/rejection decision can be arrived at
- The need for employees to send multiple follow-up emails (causing email overload and disruption at the HR end) due to HR unavailability or poor responsiveness
- Difficulties in archiving, searching for, and tracking previous conversations with employees
How Qontext Helps
Qontex’s social intranet features makes it a great tool for employee self-service (standalone or in integration with HRIS systems). For example, integrating Qontext with the HRIS greatly streamlines routine ESS processes such as leave requests. Qontext:
- Enables HR to invite all the stakeholders into a discussion. This helps reduce email overload and the resulting tangles
- Alerts HR or a HR group when an ESS request (such as a leave or a loan request) is sent. This eliminates the possibility of HR missing emails or inadvertently assigning them a lower priority
- Enables HR to easily tag any communication from the employee. For example, tagging a leave request with the employee’s unique Employee ID enables easy sorting and searching
- Contextually archives all information for future reference and possible audits. Incoming HR new hires are able to use the information with little or no on-boarding
